This Privacy Policy describes how HomeRepair Tech LLC, a Texas limited liability company doing business as ProActive Home Care™ ("Company," "we," "us," or "our"), collects, uses, and protects information about you when you use our platform at homerepair.tech and related services, including our mobile applications ("Platform"). By using the Platform, you agree to the practices described in this Privacy Policy.
1.Who We Are
HomeRepair Tech LLC operates ProActive Home Care™, a subscription-based home intelligence and preventive maintenance platform serving residential customers across Texas. Our platform combines AI-powered home analysis, professional inspections, a voice-enabled home concierge (Alex), and a growing network of vetted contractors and service providers.

2.Information We Collect
3.AI Processing & Analysis
ProActive Home Care™ is built on artificial intelligence. We use AI systems — including large language models and computer vision — to analyze the information you provide and the data we collect about your property. This AI processing is central to delivering our core services.
Specifically, AI may analyze your uploaded information and property data to:
- Detect existing or emerging maintenance risks in your home
- Generate proactive, preventive maintenance recommendations
- Analyze inspection photos and reports for condition findings
- Estimate repair costs and prioritize work orders
- Power the Alex AI voice concierge and respond to your questions
- Calculate and maintain your Home Intelligence Score
- Check for equipment and appliance recalls
- Improve the accuracy and performance of our AI models over time
- Enhance the overall customer experience and platform capabilities
Our primary AI infrastructure uses OpenAI's API. By default, OpenAI does not use data submitted through the API to train its models. When AI analyzes your data, the results are stored in your property profile and used to deliver the services you have requested.
As we develop new AI capabilities, we will update this Privacy Policy to describe any new uses of your data before they go into effect.
4.Aggregated & De-Identified Data
We may create aggregated, anonymized, or de-identified datasets derived from information collected across our platform. De-identified data is processed in a manner that cannot reasonably be used to identify any individual customer, property owner, or household.
These de-identified datasets may be used to:
- Train and improve our AI models for maintenance prediction and risk detection
- Understand regional housing trends, common failure patterns, and maintenance cycles
- Improve our platform's performance and product recommendations
- Conduct internal research and product development
- Publish statistical insights and industry reports
- Support business analytics and operational planning
- Develop benchmarks for home condition scoring across markets
This type of data use does not involve your personal information. No aggregated or de-identified dataset we create or share will include your name, contact information, precise address, or any other information that could be used to identify you as an individual.
5.Research & Industry Insights
Because we serve homeowners across a broad market, the aggregated, non-identifiable data our platform generates has meaningful value for research and industry advancement. We may share de-identified, aggregated information with organizations such as:
- Insurance companies — to improve underwriting models and home risk assessment
- Manufacturers — to understand product performance and failure rates in real-world conditions
- Academic researchers and universities — to support housing science, urban planning, and sustainability research
- Government agencies — to inform housing policy, building codes, and infrastructure planning
- Utility companies — to identify energy efficiency patterns and support conservation programs
- Real estate organizations — to provide market-level data on home condition trends
- Property technology partners — to enable integrations that benefit homeowners
Any such sharing occurs only when the information has been properly aggregated or de-identified in accordance with applicable law, such that it does not constitute personal information under applicable U.S. privacy regulations. We do not share data that can be linked back to individual customers or properties without explicit consent.

- Send service confirmations, inspection reports, and maintenance reminders
- Check for equipment and appliance recalls using your device data
- Respond to your support requests and communications
- Develop new platform features and improve existing ones
- Enhance predictive maintenance capabilities and AI accuracy
- Detect, investigate, and prevent fraud and security incidents
- Comply with applicable laws, regulations, and tax requirements
- Improve our AI models and Platform features using aggregated, de-identified data
We do not sell your personal information to third parties for their own marketing purposes or for any other purpose not described in this Privacy Policy.
7.Customer Privacy — We Do Not Sell Personal Information
HomeRepair Tech LLC does not sell, rent, or trade your personally identifiable information to any third party for any purpose. This is a core commitment of our business.
"Personally identifiable information" includes your name, email address, phone number, precise property address, payment information, and any other information that can be used to identify you individually.
Your personal information is shared with third parties only in the following circumstances:
- With service providers who process data on our behalf (see Section 8 — Third-Party Data Processors), under strict data processing agreements
- With contractors and service providers you have specifically requested through the Platform, for the purpose of delivering the service you requested
- When required by law, court order, or valid legal process
- To protect the rights, safety, or property of our users, the public, or HomeRepair Tech LLC
- With your explicit consent for a specific, disclosed purpose
- In the event of a merger, acquisition, or sale of all or substantially all of our assets, provided the acquiring entity agrees to maintain the protections in this Privacy Policy
In all cases, we share only the minimum information necessary to accomplish the stated purpose.
8.Third-Party Data Processors
We share your data with the following trusted service providers solely to operate the Platform. Each is bound by data processing agreements and their own privacy policies.
Powers our AI features including Home Intelligence Scoring, risk detection, inspection photo analysis, maintenance recommendations, manual lookup, equipment recall checking, and the Alex voice concierge. Property photos, equipment details, inspection data, and voice transcripts are transmitted to OpenAI's API for analysis. OpenAI does not use API-submitted data to train its models by default.
Privacy Policy →Processes all subscription payments and billing. Receives cardholder data directly — we never see or store your full card number. Stripe is PCI DSS Level 1 certified.
Privacy Policy →Provides the telephony infrastructure for the Alex AI voice concierge and SMS notification delivery. Voice call data is transmitted through Twilio's platform for processing.
Privacy Policy →Hosts the Platform's application server and provides cloud object storage for inspection photos, uploaded documents (manuals, warranties, W-9s, driver's licenses), PDF reports, and other files. Files and database records are encrypted at rest and in transit.

We use the Meta Pixel on our marketing website to measure advertising effectiveness. The Pixel may collect page visit and form interaction data. This tracking applies to our marketing pages only — not to authenticated account areas. See Section 15 for opt-out options.

10.Data Security
We implement layered, industry-standard security measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction:
- Encryption in transit: All data transmitted between your device and our servers uses TLS/HTTPS encryption.
- Encryption at rest: Database records and uploaded files are encrypted at rest in our cloud infrastructure.
- Password security: Passwords are hashed using bcrypt — we never store plaintext passwords.
- Authentication: JWT-based session tokens with expiration and secure renewal.
- Access controls: Role-based access controls limit data access to authorized personnel only. Admin functions require separate elevated credentials.
- Audit logging: System access and significant data operations are logged to support security monitoring and incident investigation.
- Secure cloud infrastructure: The Platform is hosted on enterprise-grade cloud infrastructure with physical and network security controls.
- Sensitive document handling: W-9s, driver's licenses, and other sensitive documents are stored in private, access-controlled storage with no public URLs.
- Database backups: Production data is backed up daily with encrypted, off-site storage and a 30-day retention window.
No security system is impenetrable. If you believe your account has been compromised, contact us immediately at info@homerepair.tech.
11.Data Retention
We retain your personal data for as long as your account is active or as needed to provide the Services. Specific retention periods:
- Account data — retained while your account is active and for up to 3 years after closure for legal and dispute resolution purposes, then deleted or anonymized.
- Property & inspection records — retained as part of your HomePassport™, which is tied to the property address. After account closure, records become static and read-only, and may be transferred to a subsequent property owner per Section 17.
- AI concierge conversations — retained for up to 2 years to support quality assurance, dispute resolution, and AI improvement. You may request earlier deletion.
- Payment records — retained as required by applicable tax and financial regulations (typically 7 years).
- Inspection photos & videos — retained for the life of the property record. You may request deletion of photos from your account settings.
- Security & audit logs — retained for up to 1 year for security monitoring and incident investigation.
- De-identified / aggregated data — may be retained indefinitely as it no longer constitutes personal information.
When personal data is no longer needed for the stated purpose and retention period has expired, we securely delete or irreversibly anonymize it.
12.Future Platform Improvements
ProActive Home Care™ is a growing platform. As we expand nationally and develop new capabilities, your data — subject always to the protections in this Privacy Policy — may be used to:
- Develop new homeowner services and platform features
- Improve predictive maintenance algorithms and failure forecasting
- Enhance your Home Intelligence Score with new dimensions and data sources
- Build more capable versions of the Alex AI concierge
- Enable new integrations with smart home devices, utilities, and insurance providers
- Expand HomePassport™ to become a standard feature in real estate transactions
- Power new B2B services (HOA management, property management, commercial accounts)
We are committed to using data for purposes that benefit you as a homeowner. Any new data use that is materially different from what is described here will be disclosed to you with at least 30 days' notice before taking effect, and where required by law, we will obtain your consent.

14.Children's Privacy
The Platform is intended for use by adults aged 18 years or older. We do not knowingly collect personal information from individuals under 18. If we become aware that a minor has provided us with personal information, we will delete it promptly. If you believe a minor has submitted information to us, please contact us at info@homerepair.tech.
15.Cookies & Tracking
The Platform uses session-only cookies and localStorage tokens for authentication and to maintain your logged-in session.
We also use the Meta Pixel, a tracking tool provided by Meta Platforms, Inc. (Facebook/Instagram), on our marketing website to measure advertising effectiveness. The Meta Pixel may collect page visit and form interaction data. You can control or opt out through your Meta ad preferences, your browser's cookie settings, or browser extensions that block tracking scripts.
We also use Google Analytics (GA4) to understand how visitors find and use our website. Google Analytics sets cookies and collects page view and general location data. You can opt out by installing the Google Analytics Opt-out Browser Add-on.
Google Tag Manager manages when these analytics and advertising tools load. It does not itself collect personal information.
These tracking tools apply to our public marketing pages only. They do not operate within authenticated account areas of the Platform.
16.HomePassport™ & Property Transfers
Your HomePassport™ is designed to be tied to your property address and to transfer to new owners when your home is sold. If you sell your home, the verified maintenance history associated with the property address may remain accessible to the new owner. Your personal account details (name, email, payment information) are not transferred — only the property's maintenance and inspection history.
If you do not wish for your HomePassport™ to be transferable, contact us before or at the time of sale to discuss your options.
17.Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will provide at least 30 days' notice of any material changes via email or in-platform notification before the changes take effect. The "Effective Date" at the top of this page reflects when the current version took effect.
Your continued use of the Platform after the effective date of an updated Privacy Policy constitutes your acceptance of the changes. For material changes that require your consent under applicable law, we will seek that consent explicitly.
18.Governing Law
This Privacy Policy is governed by the laws of the State of Texas. We are committed to complying with applicable U.S. federal and state privacy laws as they evolve, including consumer privacy laws enacted by states in which our customers reside. Any disputes arising under this Privacy Policy are subject to the dispute resolution provisions in our Terms & Conditions.
