    We never sell your personally identifiable information to third parties.
    Your home data is used to serve you — not to profile you for advertisers.
    Aggregated or de-identified data may be used for research and platform improvement, but it cannot identify you.
    You have the right to access, correct, export, or delete your personal data at any time.
    We will give you at least 30 days' notice before any material policy change.

    This Privacy Policy describes how HomeRepair Tech LLC, a Texas limited liability company doing business as ProActive Home Care™ ("Company," "we," "us," or "our"), collects, uses, and protects information about you when you use our platform at homerepair.tech and related services, including our mobile applications ("Platform"). By using the Platform, you agree to the practices described in this Privacy Policy.

    1.Who We Are

    HomeRepair Tech LLC operates ProActive Home Care™, a subscription-based home intelligence and preventive maintenance platform serving residential customers across Texas. Our platform combines AI-powered home analysis, professional inspections, a voice-enabled home concierge (Alex), and a growing network of vetted contractors and service providers.

    2.Information We Collect

    2.1 Account Information. When you create an account, we collect your name, email address, phone number, and a hashed password. For technician and vendor accounts, we may also collect a driver's license image and W-9 tax document for compliance verification.
    2.2 Property Characteristics. To provide our Services, we collect details about your home including the property address, year built, square footage, property type, number of bedrooms and bathrooms, HVAC type and install year, roof type and age, foundation type, and other structural characteristics you provide during onboarding or through service interactions.
    2.3 Maintenance History & Service Records. We collect records of all maintenance events, repair requests, work orders, service visits, and contractor interactions associated with your property. This includes dates, descriptions, costs, materials used, contractor information, and the outcome of each service event. This history forms the foundation of your HomePassport™.
    2.4 Inspection Reports, Photos & Videos. During professional inspections and self-inspections, our technicians and the Platform may capture photos and videos of your property's condition. These images are analyzed by our AI systems to assess structural and system condition, identify risk factors, and generate your Home Intelligence Score. Photos and videos are stored securely in encrypted cloud storage and associated with your property record.
    2.5 AI-Generated Analyses. Our platform generates AI analyses based on your property data, including condition assessments, risk scores, maintenance recommendations, estimated repair costs, and predictive alerts. These AI outputs are stored as part of your property profile.
    2.6 Home Intelligence Score & HomePassport™ Records. Your Home Intelligence Score — a composite 0–100 rating across up to 12 home condition dimensions — and your complete HomePassport™ property history are maintained as structured data records associated with your property address. These records may persist after an account closure as a property-level history.
    2.7 Equipment & Appliance Data. If you use our equipment tracking features, we collect appliance and system details including name, category, manufacturer, model number, serial number, install year, and location within the home. You may also upload documents such as manuals, warranties, and receipts.
    2.8 Communications with Alex (AI Concierge). When you interact with Alex, our AI voice and chat concierge, we collect the content of those conversations, including voice transcripts and chat messages. These interactions are used to fulfill your requests, improve Alex's accuracy, and understand common homeowner needs. Voice call recordings may be retained for quality assurance and AI training purposes.
    2.9 Contractor & Partner Interactions. We collect information about your interactions with contractors and service partners through the Platform, including bid requests, quote acceptances, job completions, and ratings.
    2.10 Payment Information. When you subscribe to a paid plan, payment is processed through Stripe. We do not store your full card number, CVV, or bank account details on our servers. We retain only a Stripe customer ID and subscription identifiers for billing management.
    2.11 Device & Application Usage Data. We automatically collect technical data when you use the Platform, including your IP address, browser type, device type and operating system, mobile app version, pages and screens visited, features used, actions taken, session duration, and timestamps. This data is used to operate, secure, and improve the Platform.
    2.12 Location Data. For technician dispatch and scheduling, we may collect approximate location data from technician devices with their consent. Customer location is derived from the property address you provide — we do not track your personal device's GPS in the background.
    2.13 Communications with Us. If you contact us by email, phone, or through the Platform's support channels, we retain the content of those communications to respond to your inquiry and improve our services.

    3.AI Processing & Analysis

    ProActive Home Care™ is built on artificial intelligence. We use AI systems — including large language models and computer vision — to analyze the information you provide and the data we collect about your property. This AI processing is central to delivering our core services.

    Specifically, AI may analyze your uploaded information and property data to:

    • Detect existing or emerging maintenance risks in your home
    • Generate proactive, preventive maintenance recommendations
    • Analyze inspection photos and reports for condition findings
    • Estimate repair costs and prioritize work orders
    • Power the Alex AI voice concierge and respond to your questions
    • Calculate and maintain your Home Intelligence Score
    • Check for equipment and appliance recalls
    • Improve the accuracy and performance of our AI models over time
    • Enhance the overall customer experience and platform capabilities

    Our primary AI infrastructure uses OpenAI's API. By default, OpenAI does not use data submitted through the API to train its models. When AI analyzes your data, the results are stored in your property profile and used to deliver the services you have requested.

    As we develop new AI capabilities, we will update this Privacy Policy to describe any new uses of your data before they go into effect.

    4.Aggregated & De-Identified Data

    We may create aggregated, anonymized, or de-identified datasets derived from information collected across our platform. De-identified data is processed in a manner that cannot reasonably be used to identify any individual customer, property owner, or household.

    These de-identified datasets may be used to:

    • Train and improve our AI models for maintenance prediction and risk detection
    • Understand regional housing trends, common failure patterns, and maintenance cycles
    • Improve our platform's performance and product recommendations
    • Conduct internal research and product development
    • Publish statistical insights and industry reports
    • Support business analytics and operational planning
    • Develop benchmarks for home condition scoring across markets

    This type of data use does not involve your personal information. No aggregated or de-identified dataset we create or share will include your name, contact information, precise address, or any other information that could be used to identify you as an individual.

    5.Research & Industry Insights

    Because we serve homeowners across a broad market, the aggregated, non-identifiable data our platform generates has meaningful value for research and industry advancement. We may share de-identified, aggregated information with organizations such as:

    • Insurance companies — to improve underwriting models and home risk assessment
    • Manufacturers — to understand product performance and failure rates in real-world conditions
    • Academic researchers and universities — to support housing science, urban planning, and sustainability research
    • Government agencies — to inform housing policy, building codes, and infrastructure planning
    • Utility companies — to identify energy efficiency patterns and support conservation programs
    • Real estate organizations — to provide market-level data on home condition trends
    • Property technology partners — to enable integrations that benefit homeowners

    Any such sharing occurs only when the information has been properly aggregated or de-identified in accordance with applicable law, such that it does not constitute personal information under applicable U.S. privacy regulations. We do not share data that can be linked back to individual customers or properties without explicit consent.

    6.How We Use Your Information

    • Generate your Home Intelligence Score, AI risk assessments, and maintenance recommendations
    • Schedule and dispatch technicians for service visits
    • Process subscription payments and manage billing
    • Generate and maintain your HomePassport™ property history
    • Power the Alex AI voice and chat concierge
    • Send service confirmations, inspection reports, and maintenance reminders
    • Check for equipment and appliance recalls using your device data
    • Respond to your support requests and communications
    • Develop new platform features and improve existing ones
    • Enhance predictive maintenance capabilities and AI accuracy
    • Detect, investigate, and prevent fraud and security incidents
    • Comply with applicable laws, regulations, and tax requirements
    • Improve our AI models and Platform features using aggregated, de-identified data

    We do not sell your personal information to third parties for their own marketing purposes or for any other purpose not described in this Privacy Policy.

    7.Customer Privacy — We Do Not Sell Personal Information

    HomeRepair Tech LLC does not sell, rent, or trade your personally identifiable information to any third party for any purpose. This is a core commitment of our business.

    "Personally identifiable information" includes your name, email address, phone number, precise property address, payment information, and any other information that can be used to identify you individually.

    Your personal information is shared with third parties only in the following circumstances:

    • With service providers who process data on our behalf (see Section 8 — Third-Party Data Processors), under strict data processing agreements
    • With contractors and service providers you have specifically requested through the Platform, for the purpose of delivering the service you requested
    • When required by law, court order, or valid legal process
    • To protect the rights, safety, or property of our users, the public, or HomeRepair Tech LLC
    • With your explicit consent for a specific, disclosed purpose
    • In the event of a merger, acquisition, or sale of all or substantially all of our assets, provided the acquiring entity agrees to maintain the protections in this Privacy Policy

    In all cases, we share only the minimum information necessary to accomplish the stated purpose.

    8.Third-Party Data Processors

    We share your data with the following trusted service providers solely to operate the Platform. Each is bound by data processing agreements and their own privacy policies.

    OpenAIAI Processing

    Powers our AI features including Home Intelligence Scoring, risk detection, inspection photo analysis, maintenance recommendations, manual lookup, equipment recall checking, and the Alex voice concierge. Property photos, equipment details, inspection data, and voice transcripts are transmitted to OpenAI's API for analysis. OpenAI does not use API-submitted data to train its models by default.

    Processes all subscription payments and billing. Receives cardholder data directly — we never see or store your full card number. Stripe is PCI DSS Level 1 certified.

    Provides the telephony infrastructure for the Alex AI voice concierge and SMS notification delivery. Voice call data is transmitted through Twilio's platform for processing.

    Hosts the Platform's application server and provides cloud object storage for inspection photos, uploaded documents (manuals, warranties, W-9s, driver's licenses), PDF reports, and other files. Files and database records are encrypted at rest and in transit.

    Hosts our primary database containing your account, property, equipment, work order, inspection, and subscription records. Data is encrypted at rest.

    Meta Platforms (Meta Pixel)Advertising Analytics

    We use the Meta Pixel on our marketing website to measure advertising effectiveness. The Pixel may collect page visit and form interaction data. This tracking applies to our marketing pages only — not to authenticated account areas. See Section 15 for opt-out options.

    9.Consent & User Choices

    9.1 Consent by Use. By creating an account and using the Platform, you consent to the collection and processing of your information as described in this Privacy Policy. Your consent allows us to provide the services you have requested, including AI analysis of your home data.
    9.2 Consent for AI Analysis. By uploading inspection photos, connecting your home devices, or using the Alex concierge, you consent to those specific data types being analyzed by our AI systems as described in Section 3. You may limit this by not using specific features.
    9.3 Withdrawing Consent. You may withdraw consent for certain data uses by contacting us at info@homerepair.tech. Note that withdrawing consent for core data processing may affect our ability to deliver the Services, and we may not be able to maintain your HomePassport™ record going forward.
    9.4 Communication Preferences. We may send you service-related messages (receipts, inspection reports, maintenance reminders) and, with your consent, marketing communications. You may opt out of marketing emails at any time using the unsubscribe link or by contacting us.
    9.5 Push Notifications. If you enable push notifications through our mobile apps, you can withdraw consent at any time through your device settings or account preferences.
    9.6 State Privacy Rights. Depending on your state of residence, you may have additional rights regarding your data. We honor requests consistent with applicable U.S. privacy law. Contact us to make any privacy rights request.

    10.Data Security

    We implement layered, industry-standard security measures to protect your personal information from unauthorized access, disclosure, alteration, and destruction:

    • Encryption in transit: All data transmitted between your device and our servers uses TLS/HTTPS encryption.
    • Encryption at rest: Database records and uploaded files are encrypted at rest in our cloud infrastructure.
    • Password security: Passwords are hashed using bcrypt — we never store plaintext passwords.
    • Authentication: JWT-based session tokens with expiration and secure renewal.
    • Access controls: Role-based access controls limit data access to authorized personnel only. Admin functions require separate elevated credentials.
    • Audit logging: System access and significant data operations are logged to support security monitoring and incident investigation.
    • Secure cloud infrastructure: The Platform is hosted on enterprise-grade cloud infrastructure with physical and network security controls.
    • Sensitive document handling: W-9s, driver's licenses, and other sensitive documents are stored in private, access-controlled storage with no public URLs.
    • Database backups: Production data is backed up daily with encrypted, off-site storage and a 30-day retention window.
    10.1 Incident Response. In the event of a security incident that affects your personal data, we will notify affected users within the timeframes required by applicable law. Notifications will describe the nature of the incident, the data involved, steps we have taken, and actions you can take to protect yourself.

    No security system is impenetrable. If you believe your account has been compromised, contact us immediately at info@homerepair.tech.

    11.Data Retention

    We retain your personal data for as long as your account is active or as needed to provide the Services. Specific retention periods:

    • Account data — retained while your account is active and for up to 3 years after closure for legal and dispute resolution purposes, then deleted or anonymized.
    • Property & inspection records — retained as part of your HomePassport™, which is tied to the property address. After account closure, records become static and read-only, and may be transferred to a subsequent property owner per Section 17.
    • AI concierge conversations — retained for up to 2 years to support quality assurance, dispute resolution, and AI improvement. You may request earlier deletion.
    • Payment records — retained as required by applicable tax and financial regulations (typically 7 years).
    • Inspection photos & videos — retained for the life of the property record. You may request deletion of photos from your account settings.
    • Security & audit logs — retained for up to 1 year for security monitoring and incident investigation.
    • De-identified / aggregated data — may be retained indefinitely as it no longer constitutes personal information.

    When personal data is no longer needed for the stated purpose and retention period has expired, we securely delete or irreversibly anonymize it.

    12.Future Platform Improvements

    ProActive Home Care™ is a growing platform. As we expand nationally and develop new capabilities, your data — subject always to the protections in this Privacy Policy — may be used to:

    • Develop new homeowner services and platform features
    • Improve predictive maintenance algorithms and failure forecasting
    • Enhance your Home Intelligence Score with new dimensions and data sources
    • Build more capable versions of the Alex AI concierge
    • Enable new integrations with smart home devices, utilities, and insurance providers
    • Expand HomePassport™ to become a standard feature in real estate transactions
    • Power new B2B services (HOA management, property management, commercial accounts)

    We are committed to using data for purposes that benefit you as a homeowner. Any new data use that is materially different from what is described here will be disclosed to you with at least 30 days' notice before taking effect, and where required by law, we will obtain your consent.

    13.Your Rights & Choices

    13.1 Access & Correction. You may access and update your account information at any time through your profile settings. To request a copy of all personal data we hold about you, contact us at info@homerepair.tech.
    13.2 Deletion. You may request deletion of your account and personal data by contacting us. We will delete or anonymize your data within 30 days, except where retention is required by law or where data is part of a HomePassport™ record tied to a property address.
    13.3 Data Portability. You may request an export of your property profile, inspection reports, HomePassport™ records, and equipment data in a machine-readable format. Contact us to make this request.
    13.4 Opt-Out of AI Analysis. You may request that your personal data not be used for AI model training or product improvement purposes beyond delivering your requested services. Contact us at info@homerepair.tech to make this request. Note that certain AI analysis is required to generate your Home Intelligence Score and maintenance recommendations.
    13.5 Marketing Communications. You may opt out of non-essential marketing emails at any time by using the unsubscribe link in any marketing email or by contacting us.

    14.Children's Privacy

    The Platform is intended for use by adults aged 18 years or older. We do not knowingly collect personal information from individuals under 18. If we become aware that a minor has provided us with personal information, we will delete it promptly. If you believe a minor has submitted information to us, please contact us at info@homerepair.tech.

    15.Cookies & Tracking

    The Platform uses session-only cookies and localStorage tokens for authentication and to maintain your logged-in session.

    We also use the Meta Pixel, a tracking tool provided by Meta Platforms, Inc. (Facebook/Instagram), on our marketing website to measure advertising effectiveness. The Meta Pixel may collect page visit and form interaction data. You can control or opt out through your Meta ad preferences, your browser's cookie settings, or browser extensions that block tracking scripts.

    We also use Google Analytics (GA4) to understand how visitors find and use our website. Google Analytics sets cookies and collects page view and general location data. You can opt out by installing the Google Analytics Opt-out Browser Add-on.

    Google Tag Manager manages when these analytics and advertising tools load. It does not itself collect personal information.

    These tracking tools apply to our public marketing pages only. They do not operate within authenticated account areas of the Platform.

    16.HomePassport™ & Property Transfers

    Your HomePassport™ is designed to be tied to your property address and to transfer to new owners when your home is sold. If you sell your home, the verified maintenance history associated with the property address may remain accessible to the new owner. Your personal account details (name, email, payment information) are not transferred — only the property's maintenance and inspection history.

    If you do not wish for your HomePassport™ to be transferable, contact us before or at the time of sale to discuss your options.

    17.Changes to This Privacy Policy

    We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will provide at least 30 days' notice of any material changes via email or in-platform notification before the changes take effect. The "Effective Date" at the top of this page reflects when the current version took effect.

    Your continued use of the Platform after the effective date of an updated Privacy Policy constitutes your acceptance of the changes. For material changes that require your consent under applicable law, we will seek that consent explicitly.

    18.Governing Law

    This Privacy Policy is governed by the laws of the State of Texas. We are committed to complying with applicable U.S. federal and state privacy laws as they evolve, including consumer privacy laws enacted by states in which our customers reside. Any disputes arising under this Privacy Policy are subject to the dispute resolution provisions in our Terms & Conditions.
